Administrator guide. BLE devices

The VSaaS platform supports integration with BLE controllers (Bluetooth Low Energy), providing a reliable and modern solution for managing access to premises and allowing users to use a smartphone as a digital key.

BLE technology (Bluetooth Low Energy) is a low-power wireless communication technology that allows a smartphone to function as a digital key. The system controller automatically detects the smartphone over Bluetooth, allowing users to enter or drive onto the premises without any additional action. The smartphone can remain in a pocket or bag, and the access point unlocks automatically.

The administrator performs all BLE device management operations in the Administrator cabinet.

The Administrator cabinet is a centralized tool for configuring and managing the system, where BLE devices are part of the overall access infrastructure. Before end users can use BLE devices to access the premises, the administrator must configure the system environment.

Key administrator steps for configuring and managing a BLE device:

1. Obtain the required permissions to work with the BLE device.

2. Verify that the required number of licenses is available.

3. Add the BLE device to the platform and associate it with an access point.

4. Issue access keys to users – permanent or temporary.

5. Assign users the permissions required to use BLE access.

6. Monitor BLE devices and user access.

This documentation describes the main administrator tasks for configuring and managing BLE devices.

Administrator permissions

To manage the BLE device lifecycle on the platform, the VMS administrator permission level must include the following permissions:

BLE devices:

• View the BLE device list

• View a BLE device

• Add a BLE device

• Edit a BLE device

• Delete BLE devices

• View and manage BLE keys

Platform tree:

• View and manage the platform tree

Access points:

• View the access point list

• View an access point

• Manage device assignments to access points

Licenses for working with BLE devices

To work with BLE devices on the platform, the platform must have licenses for BLE controllers and BLE keys. For detailed information for administrators, see the Licenses documentation section.

Add a BLE device to the platform, connect to access point

The administrator can add and manage BLE devices on the platform through the following interface paths:

• Platform tree > Access control > Access point → Devices

• Devices > Intercom > Added

Platform tree > Access point

The administrator can add a BLE device directly to the Access point of a location through the Platform tree. This method allows the administrator to manage the BLE device directly from the relevant access point, without navigating between different platform sections.

Once the device is added, the administrator can immediately issue BLE access keys to users. To do this, the administrator opens the device card from the access point. For detailed instructions, see the BLE devices > View and edit a BLE device documentation page.

Devices > BLE devices > Added

The BLE devices > Added page brings together all operations for managing BLE devices on the platform. Here, the administrator can view the complete list of BLE devices, monitor their status and key parameters, manage their associations with access points and users, view device details, and quickly find the required devices using search and filters. The page also provides information about devices added to or removed from the platform.

When adding a new BLE device, the administrator can choose whether to associate it with an access point immediately or add it without an association.

• Without an access point association. The administrator can add a new BLE device to the platform without associating it with an access point. This allows the administrator to register the device first and associate it with the required access point later – for example, directly from the access point settings in Platform tree. This approach is useful when the administrator wants to add and verify devices on the platform first and assign them to access points later. The administrator cannot issue BLE keys to users until the device is associated with an access point.

• With an access point association. The administrator associates the BLE device with the required access point during the setup process. Once the device is added, the administrator can issue BLE keys to users and grant them access.

In the Devices section, the administrator can:

• Add a device to the platform.

• Remove a device from the platform.

• View the complete device list, including devices currently on the platform and devices that have been removed.

• View a device's status and key parameters.

• Associate a device with an access point. This option is available only when adding a new BLE device to the platform. During setup, the administrator can associate the device with an access point immediately or add it without an association. If the device is added without an access point association, the administrator can associate it with an access point later through the access point settings.

• Remove a device association from an access point.

• Associate user profiles with devices by issuing access keys. This option is available only for devices associated with an access point.

• Manage BLE access keys for users.

Issue a BLE key to a user

The administrator can grant a user BLE access by issuing a permanent or temporary BLE key. When issuing a BLE key, the administrator associates the user's profile with a specific BLE device. The key determines which BLE device the user can use to access a specific access point.

The administrator can issue a BLE key only for a BLE device associated with an access point. If the device is added to the platform without an access point association, the administrator must associate it with the required access point first.

The administrator can change access settings or revoke an issued BLE key when necessary.

The administrator issues keys from the BLE device card on the Permanent keys and Temporary keys tabs. The BLE device card is available from:

• Platform tree > Access control > Access point > Devices

• Devices > BLE devices > Added

Once the BLE key is issued, it automatically becomes available to the user in the mobile application and is ready to use. For information about using BLE access, see the BLE key user guide documentation.

User permissions

To use BLE access, the user must have the following permission: BLE device: BLE devices > Display BLE devices.

The administrator configures this permission in Administration > Users, in the user's profile.

Information about BLE devices and user access

During BLE device operation, the administrator can find the required information in different platform areas, depending on the task:

• BLE devices > Added: the central location for managing all added BLE devices, including their parameters, status, settings, users, and keys.

• Administration > Users: provides information about a specific user's BLE access, including issued BLE keys and the devices associated with them.

• Access point in a location: provides information about the BLE devices associated with the access point, as well as the users and BLE keys issued to them.

• Reports > System > About devices: allows the administrator to export a report on BLE devices added to the platform.
